We’re a small private school in North York looking to fill the position of Registrar, Office Manager. The right candidate will have a minimum 3 years office experience at school, or in a managerial or assistant manager role.

The Registrar, Office Manager position requires a reliable, highly-organized, outgoing personality with strong verbal and written communication skills, as well as copy editing - attention to detail is a must! A team-player, who can prioritize tasks, switch gears on the fly, and meet deadlines.

We are conducting interviews from April 25- 27, with candidates who currently live in Toronto and able to start the position on Mon May 2. Candidates must be available for training and orientation April 28 - May 1.

Role & Responsibilities

  • Process student enrolments, overseeing student registration, intake, and academic records, securing the transfer of student Ontario School Record (OSR) and ensuring the accuracy and security of academic records for current and alumni students

  • Manage new enrolment inquiries from parents and students

  • Coordinate after-school and summer programs year round

  • Maintain and update full and part-time student lists and contacts

  • Issue bimonthly employee payroll, and CRA payments due

  • Bookkeeping; responsible for keeping accurate and up to date records for the business accountant (Quickbooks)

  • Manage customer accounts, issuing invoices, payment plans, track and collect payments, providing insurance statements and tax receipts, issuing employee expense and paying utilities

  • Schedule and manage daily calendar appointments for school Director and faculty, including parent-teacher meetings as needed

  • Liaise with Marketing consultant on various marketing, promotion, outreach and partnership initiatives, including quarterly Open House events and the development of school newsletters, brochures, social media content and website updates

  • Support the planning of annual June graduation event

  • Performing office duties as needed i.e.) business supply orders/inventory, product recycling, scheduling couriers, general cleaning

  • Hours: 9 AM - 4 PM, Monday - Friday.  Holidays: March Break, Christmas Break, Summer

Key Qualifications:

  • College Diploma or Certificate with 3-5 years administration experience working in a school, Office Manager or Assistant, or an equivalent combination of education and experience;

  • Ability to communicate effectively in a sensitive, courteous manner;

  • Proven ability to follow directions, policies and procedures in an appropriate and timely manner;

  • Understanding of, and commitment to confidentiality;

  • Team player

This is a 12-month, full-time contract position. Start Date Monday May 2nd, 2022.

Salary: $45,000.00-$50,000.00 per year
